Clinical Fellow person specification and shortlisting

Turn a local Clinical Fellow person specification into a truthful criterion-to-evidence map, with strong and weak examples for clinical experience, teamwork and QI.

Recruitment and training source status

No national Clinical Fellow recruitment year, station blueprint or portfolio tariff. The employer's person specification, interview invitation and written contract control this post; GMC standards are UK-wide, and the cited 2026 LED contract transition is England-specific and still in progress.

Build a criterion-to-proof grid. Essential criteria often decide whether an application can progress; desirables help distinguish applicants. Different employers may assess the same criterion in different ways, so never invent a points scheme.

Registration, qualification and scope

Copy the precise requirements: GMC status and licence, primary qualification, postgraduate exams if specified, relevant clinical experience and permissible start date. Only claim registration or exam passes already awarded.

Strong evidence
  • Exact qualification and date
  • Current registration status
  • Dated specialty and grade experience
Weak evidence
  • An exam booked but recorded as passed
  • A vague claim of UK registration
  • A future plan presented as current eligibility
How to close the gap
  • Check the GMC pathway and employer before applying
  • Apply to a grade matching current competence

Clinical experience and out-of-hours work

Name your patient group, setting, rota and level of supervised responsibility. A few observations of a procedure are not equivalent to competent independent practice; say where you sought senior input.

Strong evidence
  • Time in a comparable acute service
  • Case mix and responsibilities
  • Supervision and escalation examples
Weak evidence
  • Unspecific 'experience in medicine'
  • Observership described as hands-on competence
How to close the gap
  • Arrange a relevant supervised rotation or taster
  • Record a small set of de-identified cases and learning

Teamwork, communication and values

Choose an episode showing your action, the patient's needs, MDT communication, escalation and outcome. A generic list of Trust values or a team award with no personal role does not show your behaviour.

Strong evidence
  • A concrete handover or difficult conversation
  • Specific role and patient-safety effect
Weak evidence
  • 'I communicate well'
  • Memorised values with no example
How to close the gap
  • Request feedback on handovers
  • Reflect on one real MDT decision

QI, teaching, research or leadership

Show the output required by this job, your contribution, dates and learning. Do not describe joining a project as completing an improvement cycle or attendance as delivering teaching.

Strong evidence
  • Baseline, change and remeasurement for QI
  • Teaching delivered and evaluated
  • Authorship and actual research contribution
Weak evidence
  • Conference attendance only
  • Passive society membership
  • Unfinished plans presented as results
How to close the gap
  • Finish one modest improvement or repeat a useful teaching session
  • Obtain accurate confirmation from a supervisor

Fictional worked job-pack review

Separate eligibility, evidence and interview preparation

Suppose a junior medical vacancy asks for registration by appointment, foundation-level acute experience, effective teamwork and desirable teaching experience. This invented map shows how to interrogate the wording. It is not an employer's actual criteria or scoring scheme.

Registration by appointment: resolve the timing

Record your exact current status and the advert's required date. If an application is pending, the evidence is a pending application, not registration. Ask the recruiter whether that status can be considered and what must be complete before appointment. Save their reply alongside the vacancy; a more generous condition from another Trust does not apply here.

Acute experience: prove level and duration

Fictional evidence: four months on acute medicine with supervised clerking and ward reviews, confirmed by employment records and a supervisor. This supports a discussion of junior acute work. It would leave a gap if the advert required twelve months in the specialty. Do not combine an observational attachment with employed clinical work as though the responsibility were identical.

Teamwork and teaching: choose different proof

For teamwork, use a specific handover or coordinated discharge decision and explain your part. For teaching, use delivered sessions, audience, feedback and records. One course certificate cannot demonstrate both behaviours. Mark which claim is assessed in the application and which you should be ready to explain at interview.

NHS Jobs application advice

A practical stop rule

Before drafting, label each essential as evidenced, unclear or unmet. Resolve unclear requirements with the employer. Do not spend the final evening polishing desirables while an essential remains unanswered. If the pack and advert contradict each other, ask which requirement governs this vacancy rather than choosing the easier version.
